Job Description


We are seeking a highly motivated and experienced inpidual to provide professional administrative support to the Pro-Dean of the Joint School. Your main duties will be to coordinate activities, projects and day-to-day Joint School business across the universities of Leeds, UK and Southwest Jiaotong, China.
You will be required to liaise confidently across the both university’s staff, students and external stakeholders;you will have excellent verbal and written communication skills and experience of organising peers and academic staff to work together to achieve shared goals.  You will also be able to work independently and use your own initiative and judgement in order to make decisions.
You will possess excellent IT skills and have substantial experience and a strong working knowledge of Microsoft Office/365 and electronic diaries.


Main Duties and Responsibilities


  Administrative
• Taking a lead in all aspects of administration related to the delivery of teaching, scholarship and research in the Joint School, supporting the improvement of the student and staff experience;
• Taking responsibility for effective high-level administrative support to the Pro-Dean of the Joint School including translation, electronic diary management, arranging meetings and events (using Microsoft Teams or equivalent where appropriate), booking venues, accommodation, travel and catering and communicating arrangements;
• Ensuring the Pro-Dean of the Joint School is prepared and briefed for meetings through the preparation and provision of documentation and briefing notes, being aware of current issues, thinking ahead and preparing information in advance;
• Acting as a responsive and professional first point of contact for Leeds University staff to the Joint School, proactively and professionally responding to all enquiries, using initiative and judgement to deal with complex and nonstandard queries;
• Ensuring effective, regular and open communication between all levels of staff at the Joint School and the Faculties and Schools at both Leeds and Southwest Jiaotong Universities;
• Ensuring effective communication across key staff and student services e.g. student support relevant to Joint School activities in both universities, being pro-active to manage and resolve any issues;
• Developing contacts and building effective working relationships with a variety of colleagues at all levels and across both universities, including any external organisations, liaising confidently to ensure the effective coordination and communication of Joint School activity;
• Developing relationships with students and acting as an ambassador for the student exchange programme, supporting student exchange to thrive and grow;
• Liaising with academic and service staff across both universities and the Joint School to support and coordinate day-to-day Joint School business e.g. timetabling, teaching and office spaces and the development and implementation of new programmes and other new activities;
• Providing pastoral support for staff travelling between China and the UK, and while they are on site staying in China, on administrative matters relating to e.g. visas, accommodation, travel, bookings etc;
• Developing, maintaining and improving administrative systems, including the development and maintenance of databases, spreadsheets and filing systems, supporting the use of electronic solutions where appropriate;
• Taking ownership of day to day operations of the Joint School for non-academic activities, gathering, analysing and acting upon information from a variety of different sources to ensure that day-to-day operation of the Joint School runs smoothly and transparently;
• Acting as the budget holder for the Joint School’s financial plan, liaising closely with finance teams in both universities;
• Acting as the office manager for the Joint School on behalf of the University of Leeds;
• Liaising with HR services and other stakeholders to support the Joint School in staff recruitment and retention;
• Liaising with external specialist service providers to the Joint School, especially in the areas of visas and tax, to improve processes and ensure effective and smooth operation and communication of these activities and any changes to them;
• Work closely with academic staff across both universities, supporting them to develop ideas, relationships, projects and funding to support the Joint School’s research ambitions;
• Lead on specific project work with key stakeholders, taking responsibility for effective planning, reporting and monitoring and managing the input of others to ensure milestones are met and areas of risk are addressed;  
• Plan and run joint meetings and working groups across both universities, taking responsibility to ensure all actions are addressed and delivered accordingly;
• Liaising with other service staff to ensure meetings and events, bookings, accommodation, travel and catering activities are delivered as expected;
• Acting as secretary for meetings and steering groups, including preparing agendas and other relevant paperwork, minute-taking, translation, following up on action points and  actively supporting the provision of paperless meetings;
• Participating in any internal or external quality assurance exercise or accreditation scheme. 

  Social
• Provide a programme of events during the day, evening and at the weekend for students in and outside the University, catering to different tastes and cultural expectations by providing a range of activities within a limited budget.
• Show Leeds staff around SWJTU and city centre.
• Go on course excursions to assist teaching staff and interact with students.
• Be aware of health and safety issues effecting staff and students.


Requirements


• A high level of competency in English and Chinese, equivalent or near of that of a native speaker;

• Experience of having lived and worked in China;

• Have a high level of competency in English, equivalent or near to that of a native speaker;

• Hold an undergraduate degree, preferably in Chinese;

• Hold a postgraduate degree, preferably in English;

• Experience of working with international students, particularly Chinese students

• Significant experience of working as an Executive Assistant or a Senior Administrator;

• Strong interpersonal and influencing skills with an ability to build and maintain positive working relationships with inpiduals and organisations both internally and externally;

• Experience of managing and liaising with staff and coordinating their activities, supporting them to balance their competing workloads and achieve agreed goals;

•   Excellent numeracy and literacy skills with excellent attention to detail;

• Excellent IT skills including substantial experience and a strong working knowledge of Microsoft Office applications;

•  Excellent written communication skill;

• The ability to work effectively and collaboratively within a team, and the ability to work on your own initiative to make independent decisions

• Excellent organisational skills with an ability to prioritise competing demands;

and work under pressure in a busy environment to meet strict deadlines;

• The ability to exercise tact and diplomacy and deal with sensitive information and maintain confidentiality at all times; 


Salary

Annual salary:120,000 – 150,000 RMB p.a.
